Where to send a WebTPA prior authorization request, and what the Prudential plan asks for.

WebTPA prior authorization requests go wherever the patient’s plan sends them. WebTPA is a third-party administrator for many employer plans, and each plan sets its own rules for which services need pre-certification and who reviews them.

WebTPA publishes the full process for one plan, the Prudential-sponsored medical program. On that plan, providers fax the clinical documents to 469-417-1981 or go through webtpa.com/prudential. For any other WebTPA plan, the patient’s ID card says who takes the request.

At a glance

  • WebTPA is a third-party administrator in the GuideWell enterprise.
  • The employer’s plan sets which services need pre-certification.
  • Prudential plan requests go by fax to 469-417-1981 or through webtpa.com/prudential.
  • Some WebTPA plans use another company, such as Hines’ PrecertCare, for precertification.
  • On ERISA plans, a pre-service decision is due within 15 days, or 72 hours if urgent.

Who WebTPA administers plans for

WebTPA got its start in 1993 by consulting with hospital health plans, and it is part of the GuideWell enterprise, a not-for-profit health solutions company, according to WebTPA’s homepage. It serves self-funded employers “from Fortune 500 companies to municipalities”, hospital health systems and insurance carriers that outsource claims administration.

Each of those clients has its own plan, so the fax number, portal and list of services that need review can change from one WebTPA patient to the next. Check which plan the patient’s card names before you send a request.

Sending a Prudential plan request

WebTPA is the medical claims administrator for the Prudential-sponsored medical program. The provider network is Aetna Signature Administrators, the group number is 2022PRU and WebTPA’s payer ID is 75261, according to WebTPA’s For Providers page.

WebTPA’s provider flyer for Prudential members (December 2024) gives these steps:

  1. Fax the clinical documents for an authorization review to 469-417-1981, or go through webtpa.com/prudential.
  2. Make sure the documents show the member’s first and last name, member insurance card ID number and date of birth.
  3. To check a request, open the WebTPA Provider Portal from webtpa.com/prudential by clicking Provider Login.

WebTPA’s hours are Monday through Friday, 7 a.m. to 7 p.m. CT. Eligibility can also be confirmed on Availity.

The Medical Necessity Review/Request for Pre-authorization form linked from WebTPA’s For Providers page allows an urgent request only when the standard review time frame “may seriously jeopardize the member’s life, health, or ability to regain maximum function.” It also says a medical necessity determination “does not guarantee payment for services”, and that payment follows the Summary Plan Description.

When another company handles precertification

A WebTPA plan can use a separate company to review requests. For employer groups on American Financial health plans, providers submit precertification requests through Hines’ PrecertCare, after first registering at Precertcare.com, according to Hines & Associates.

So before you fax anything to WebTPA, check the back of the patient’s ID card for the company that takes precertification.

Decision and appeal deadlines on WebTPA plans

Self-funded private employer plans follow the ERISA claims rules. Under the federal claims rule, an urgent care claim is decided within 72 hours. A pre-service claim is decided within 15 days, and the plan can extend that once by up to 15 days for matters beyond its control.

A member has at least 180 days to appeal a denial, and a pre-service appeal is decided within 30 days when the plan has one level of appeal.

Self-insured nonfederal governmental plans, such as a municipality’s, must meet the same claims and appeals requirements under 45 CFR 147.136, which generally does not apply to grandfathered plans. Silna’s guide to appealing a prior authorization denial covers the general steps.

Silna’s work on WebTPA requests

Silna checks which company reviews each patient’s plan, submits the request with the documents it needs and follows up until a decision comes back. It also tracks upcoming authorizations and sends weekly reminders. G2 reviewers rate Silna 4.8 out of 5 across 66 verified reviews.
